Data Management & Processing Policy

Last Updated: 09 Jan 2026
Last Reviewed: 09 Jan 2026

Time On Target (“Company,” “we,” “our,” or “us”) provides consulting, system architecture, CRM optimization, automation implementation, and AI advisory services that may involve access to client-owned platforms and data environments.

This policy explains how Time On Target accesses, processes, transmits, and safeguards data in the course of delivering services.

Dual Role in Data Processing

Time On Target operates in two distinct data roles depending on context.

Client System Context (Processor / Implementer)

When providing services inside client-owned systems, the client remains the data controller and system owner.

Time On Target acts as a:

  • Technical consultant
  • Automation implementer
  • Systems configurator

Clients remain responsible for:

  • Lawful data collection
  • Messaging consent
  • Regulatory compliance
  • Data retention decisions
  • Platform usage policies

Time On Target Internal Systems (Controller)

When individuals interact directly with Time On Target,  including through our website, outreach programs, consulting processes, or educational content, Time On Target acts as the data controller and system owner.

We determine how information is collected, used, stored, and communicated within our own operational systems.

System Access & Credential Use

Clients may grant Time On Target user-level or administrative access to software systems to enable project delivery.

Time On Target will:

  • Use access only for authorized project activities
  • Limit internal access to personnel involved in delivery
  • Avoid unnecessary data exposure
  • Relinquish a ccess upon request or project completion

Clients are responsible for:
  • Managing permissions
  • Maintaining backups
  • Reviewing audit logs
  • Revoking access when appropriate

Automation & Workflow Processing

Services may include designing and implementing automation that:

  • Moves or updates contact records
  • Triggers emails, SMS messages, or notifications
  • Enrolls contacts in campaigns
  • Updates pipeline or lifecycle stages
  • Integrates data across platforms

Clients acknowledge automation may continue operating after deployment and must be monitored and managed by the client unless ongoing managed services are provided.

AI-Enabled System Configuration

Time On Target may configure or recommend AI-enabled technologies to support:

  • Messaging development
  • Lead routing or scoring
  • Workflow optimization
  • Conversational automation
  • Data enrichment or classification

AI systems may process limited data inputs required for configured functionality.

Clients acknowledge that:

  • AI-generated outputs may be inaccurate
  • AI systems may evolve over time
  • Human supervision is recommended prior to operational deployment

Multi-Platform Integrations

Projects may involve integrating multiple systems such as:

  • CRM platforms
  • Communication tools
  • Analytics platforms
  • Advertising or attribution systems
  • Payment or subscription systems
  • Scheduling or event platforms
  • AI processing services

Time On Target configures integrations but does not control third-party platform uptime, security posture, or data handling practices.

Data Storage Practices

Time On Target generally does not export or permanently retain full client datasets.

Temporary handling of limited data may occur within:

  • Configuration documentation
  • Testing environments
  • Troubleshooting logs
  • Implementation planning materials

Such handling is limited to operational necessity.

Post-Deployment Responsibility

Following implementation or delivery:

  • Clients are responsible for supervising automation behavior
  • Clients must monitor outbound communications
  • Clients must maintain platform compliance settings
  • Clients must review AI-driven processes

Time On Target has no ongoing monitoring obligation unless a managed services agreement is in place.

Security Awareness

Time On Target applies commercially reasonable safeguards including:

  • Secure credential handling
  • Device protection practices
  • Controlled internal access
  • Vendor awareness

However, automated systems and integrations inherently involve operational risk.

Incident Awareness

If Time On Target becomes aware of a material data exposure directly resulting from its activities, reasonable efforts will be made to notify the affected client.

Updates to This Policy

This policy may be updated periodically to reflect evolving technologies, service practices, or regulatory considerations.

Updates will be posted on this page with a revised effective date.
